This Privacy Policy describes how Utah Overland Rentals LLC (doing business as “UT Overland” β “we,” “us,” or “our”) collects, uses, and shares information when you visit utoverland.com (the “Site”), rent a vehicle or equipment from us, make a purchase, or otherwise interact with our business.
Who we are
Utah Overland Rentals LLC (operating as “UT Overland”) is a Utah-based overland vehicle rental and gear retail business. Our website address is https://utoverland.com. What information we collect
Information you provide directly. When you book a rental, make a purchase, or contact us, we collect information such as your name, email, phone number, billing/shipping address, driver’s license info (for rentals), and payment details. Payment information is processed by our payment processor and is not stored on our servers.
Information collected automatically. When you use the Site we automatically collect your IP address, browser and device information, referring URL, pages viewed, and approximate location. We use this to operate the Site, measure traffic, and improve content.
Comments. When visitors leave comments on the blog, we collect the data shown in the comments form, plus the visitor’s IP address and browser user agent string to help spam detection. An anonymized string (hash) derived from your email may be provided to Gravatar to see if you are using it β see Gravatar’s privacy policy.
Media. If you upload images to the Site, avoid uploading images with embedded location data (EXIF GPS). Visitors can download and extract location data from images on the Site.
Cookies and tracking
We use cookies and similar technologies for the following purposes:

- WooCommerce cookies manage your shopping cart and rental booking session. These typically expire within two days.
- Comment cookies save your name, email, and website for one year if you opt in when leaving a comment, so you don’t have to re-enter them.
- Analytics cookies (Google Analytics via Site Kit) help us understand which pages are popular and how visitors find us. Data is aggregated and does not identify individuals.

Embedded content from other websites
Articles and pages on this Site may include embedded content (videos, images, maps, booking widgets). Our rental booking and fleet management is powered by Wheelbase (a product of Outdoorsy, Inc.), a third-party rental software platform. The booking widget and rental checkout may be embedded on our Site or hosted on Wheelbase’s infrastructure. Information you enter during booking (name, contact details, driver’s license, rental dates, payment information) is collected and processed by Wheelbase on our behalf, and is also governed by the Outdoorsy/Wheelbase privacy policy.
Orders and rentals
When you place an order or reserve a rental, we collect and retain the information necessary to fulfill your reservation, process payment, comply with applicable laws (including tax and insurance recordkeeping), and support you after your trip. This includes contact details, driver’s license information (for rentals), rental dates, equipment selected, and transaction history.
We share this information only with parties necessary to complete your booking β for example, Wheelbase (our rental fleet and booking platform), our payment processor, our insurance provider, and shipping carriers for retail orders. We do not sell your personal information.
Affiliate disclosure
Some links on this Site are affiliate links. If you click one and make a purchase, we may earn a commission at no additional cost to you. We participate in affiliate marketing programs and retailer referral networks, including but not limited to AvantLink, Amazon Associates, Commission Junction (CJ), and Impact. From time to time we may join or leave additional affiliate networks and retailer programs; this disclosure applies to any affiliate program we participate in, whether or not it is named here. These programs use cookies and similar technologies to attribute your purchase to us. Our editorial recommendations are based on our own experience guiding overland trips and operating our rental fleet β affiliate relationships do not influence which products we recommend.
How long we retain your data
- If you leave a comment, the comment and its metadata are retained indefinitely so we can recognize and approve follow-up comments automatically.
- If you register an account on the Site, we store the information you provide in your user profile. You can see, edit, or delete your account information at any time (except your username).
- Order and rental records are retained for the period required by applicable tax, accounting, and insurance regulations.
- Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on the Site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include data we are obliged to keep for administrative, legal, or security purposes (for example, completed rental transactions retained for tax or insurance reasons).
